    Programs Assistant (Part-Time)

    Position Overview

    We are seeking a highly organized, detail-oriented, and collaborative Programs Assistant to support the execution of key Foundation initiatives. This position plays a vital role in administering our Scholarships, Innovation Grants, Compassion Grants, and the Teacher of the Year program.

    The ideal candidate is someone who not only excels at administrative tasks but also understands how individual details connect to the larger success of our Foundation's programs.     Key Details
    • Employment Type: Part-time (20 hours per week; 5 hours a day, 4 days a week).
    • Compensation & Benefits: $20-$25 per hour, including a Simple IRA with a 3% match.
    • Environment: Highly collaborative and community-focused Foundation setting.
       

    Responsibilities & Duties

    Program Support
    • Assist in the administration, tracking, and processing of applications for Scholarships, Innovation Grants, and Compassion Grants.
    • Provide behind-the-scenes support for the Teacher of the Year program by updating and organizing the nomination forms, tracking incoming submissions, and preparing materials for the review committee.
    • Work closely with the Programs & Marketing Coordinator to support accurate and timely communications with applicants, committee members, and Foundation stakeholders.
    Data & Document Management
    • Organize and maintain accurate program spreadsheets to track donor-funded data, grants, and applicant status.
    • Utilize mail merges to streamline communications, award letters, and distribution materials.
    • Ensure a high level of attention to detail across all data entry and documentation.
    Marketing & Digital Support
    • Assist in developing and executing marketing strategies to promote various Foundation programs.
    • Collect, organize, and manage media assets—including quotes, photos, and other materials—to be used across social media and other platforms.
    • Collaborate closely with the Programs & Marketing Coordinator to plan and align marketing schedules and seasonal themes.
    • Capture photos and videos at events or school site visits to highlight and document the impact of Foundation programs.
       

    Qualifications & Skills

    Required Skills
    • Technical Proficiency: Exceptional skills in the Microsoft Office Suite—specifically Excel (data organization, sorting, basic formulas) and Word (generating standard templates, letters, and mail merges).
    • Process-Oriented Thinking: Strong organizational skills with a proven ability to connect day-to-day tasks to the overarching goals of the Foundation's cycles.
    • Media Gathering & Coordination: Experience or comfort with storytelling asset collection (capturing simple photos/videos, interviewing or gathering quotes, organizing files).
    • Precision: A sharp eye for detail; pride in accuracy, completeness, and thoroughness of work.
